Who we are

Zymachem distributes specialty ingredients in Canada. This policy explains how we handle personal information collected on zymachem.com, in line with Québec's Law 25 (Act respecting the protection of personal information in the private sector).

Information we collect

The site collects personal information only when you fill in the contact form: your name, your company name, your email address, your phone number if you give it, the type of request, the list of ingredients you attach to it and your message.

Like any website, zymachem.com receives technical data on every visit, such as your IP address and information about your browser. Cloudflare, which hosts the site, processes it to serve the pages and protect the site from abuse. On the contact page, Cloudflare Turnstile also processes it, only to check that you are not a robot.

The ingredient list you build on the site stays in your browser. It is sent to us only if you submit the contact form.

The site uses no tracking, advertising or analytics cookies. Cloudflare may set a technical security cookie that the site needs to work.

Why we collect it

We use this information only to answer your request and follow up on your project. We do not sell it, and we do not use it for marketing without your consent.

Where your information goes

Your message reaches us by email at info@zymachem.com through Resend, an email delivery service. Our mailbox is hosted by Google (Google Workspace), and we read it in Microsoft Outlook, which syncs the emails through Microsoft's servers. Cloudflare hosts the site and, with Cloudflare Turnstile, checks that the form is filled in by a person and not a robot. These providers are based in the United States, so your information may be processed outside Québec. Before entrusting it to them, we assessed the privacy factors of this transfer, as Law 25 requires.

The site keeps no copy of your information in a database.

Security

The site is served over HTTPS only, which encrypts your information while it travels. Only the Zymachem staff who handle requests can read the emails we receive.

How long we keep it

We keep your emails as long as needed to answer your request and manage our business relationship. A request that did not lead to a business relationship is deleted 3 years after our last exchange.

Your rights

You can ask to see, correct or delete your personal information, or withdraw your consent to its use, by writing to info@zymachem.com. We will answer within 30 days.

If you are not satisfied with our answer, you can file a complaint with Québec's Commission d'accès à l'information (cai.gouv.qc.ca).

Governance rules

These rules set out how Zymachem protects personal information, as Law 25 requires.

Roles: the person responsible for the protection of personal information, the Account Manager, approves these rules, makes sure they are followed and handles requests and complaints. Only the staff who handle requests can access the information we receive, and they are informed of these rules.

Retention and destruction: information is kept as described under "How long we keep it", then deleted from our mailboxes.

Providers: before entrusting information to a provider outside Québec, we assess the privacy factors and make sure a written agreement protects it.

Confidentiality incidents: if information is lost, accessed or disclosed without authorization, we act promptly to reduce the risk of harm. If the risk is serious, we notify the Commission d'accès à l'information and the people concerned. Every incident is recorded in a register.

Complaints: write to info@zymachem.com. We acknowledge your complaint and answer within 30 days.

Review: we review these rules and this policy at least once a year, and the date of the last update is at the top of this page.
